How to apply for, renew, or replace a Chinese passport in the UK? What should you do if your passport is lost or expired?

 

What should you do if your passport is lost in the UK? What should you do if your passport is expired? How can you apply for a Chinese passport?

 

Starting from July 1, 2019, the Chinese Embassy and Consulates in the UK have reduced the fees for regular passports and travel documents from £18 to £14 per document. You can apply for a passport, renew a passport, or replace a passport at the Chinese Embassy in the UK, the Consulate General in Manchester, or the Consulate General in Edinburgh.



In general, under what circumstances do you need to apply for, replace, or renew a passport?

  1. When your passport is expired or about to expire, for example,      when the validity is less than 12 months.

  2. When your passport is lost.

  3. When your passport is damaged.

  4. When there are less than 2 sets of 4 blank visa pages left in      your passport.

  5. When there has been a significant change in your appearance.

 


Applying for a passport:

Online appointment: In general, unless in special circumstances, individuals need to make an online appointment before applying for a passport. Special circumstances refer to the following five points, where relevant proof is required to qualify for the "Green Channel" without the need for an online appointment:

    1. Newborns applying for their first passport or travel document.

    2. Individuals who have lost or damaged their passport while       temporarily visiting the UK on a visitor visa and urgently need to apply       for a travel document to return to their home country.

    3. Individuals who require an urgent passport or travel document       due to humanitarian reasons such as bereavement, visiting critically ill       relatives, or emergency medical treatment.

    4. Compatriots from Hong Kong, Macau, or Taiwan applying for a       travel document to travel to mainland China.

    5. Individuals with special circumstances such as the elderly,       the weak, the sick, the disabled, or pregnant individuals.

Ten Sheng Miao reminds you to carefully review the form when filling it out because once the application is submitted, all information cannot be modified. If you have already submitted but discovered an error, you can cancel the appointment and, after 72 hours, log back into the online appointment website to fill out the application again. You must wait for 72 hours before doing so.

 

Furthermore, remember the file number you received during the online appointment. Generally, the official system will send an email to the email address you provided, containing your file number. If you haven't received the email, check your spam folder or verify if you entered the correct email address. The file number is used when you haven't submitted the appointment but saved the previously entered application. You can directly access the system for modifications using the file number. If you still can't find the file number, you can send your name, gender, date of birth, and place of birth to the email address lssservice@mfa.gov.cn for assistance from staff.

 

After a successful appointment, you can still cancel or change the appointment. Just log in to the appointment system and enter your file number. However, changing the appointment date can only be done once, and it must be done at least 24 hours before the scheduled appointment. For example, if you want to change the appointment to February 6th at 15:00, you must make the change before 15:00 on February 5th.

Ten Sheng Miao reminds you that after filling out the form as required, when uploading photos, make sure to carefully check the photos you took and upload them in JPEG format. If you take a screenshot, the photo may not be clear or may not meet the requirements. Even if you successfully upload a photo and it appears clear to you, it may still not meet the requirements for an electronic passport.

 

If you are unable to upload the photos successfully and experiencing difficulties, you can skip the upload step and bring three photos that meet the requirements when applying at the consulate. However, if you have successfully uploaded the photos, you will need to bring two copies (although Ten Sheng Miao still recommends bringing three) of the printed photos that are identical to the ones you uploaded.

 

It is important to prepare in advance and bring printed photos that meet the specified specifications. If your photos do not meet the requirements, the Consular Section on the G floor of the Embassy of China in the UK provides a self-service photo booth for £6, payable by bank card or cash, as shown in the image below

Submitting the application at the embassy/consulate:

 

After successfully making an online appointment, print out the form filled out on the website using PDF software. Gather the mentioned application documents, two printed photos that match the uploaded ones, and other required materials. On the scheduled date of your appointment, go to the embassy or consulate where you applied in person.

 

Note that you should not go to the wrong location. Embassies and consulates do not process passport applications interchangeably. You must go to the specific location where you made the online appointment. For example, if you made an appointment at the Consulate General in Manchester, you cannot go to the Consulate General in Edinburgh for the application.

 

Ten Sheng Miao reminds you that if you encounter issues where you cannot select a date during the online appointment, try switching to a different browser. It may be due to compatibility issues or other problems with the browser. However, if you do not see the option to select a date but instead see a QR code, there is no need to worry. Simply print out the application form and QR code and proceed directly to the front desk of the diplomatic and consular mission abroad to apply for the passport.

 

Upon arrival at the embassy/consulate, follow the sequence, take a queue number, and proceed with the document review. Once the payment is made successfully, you will receive a new passport collection slip. After that, you can return home and wait for further instructions.

Collecting the new passport:

 

Beforehand, check the accuracy of the document processing status online. Once you see that the passport has arrived at the embassy or consulate, you can bring the collection slip and proceed to collect it. You have the option to collect the new passport in person or authorize someone else to collect it on your behalf.

Applying for passport renewal:

 

Ten Sheng Miao reminds you that when applying for passport renewal, you must also bring your old passport. It will be collected by the staff, and when you collect your new passport, the old passport will be returned to you as well.



The steps for applying for a passport and renewing a passport are similar, and the price is also £14:

  2. Go to the designated location for the appointment at the      scheduled time. After making the payment, you will receive a collection      slip, and then you can return home.

  3. Once the new passport is ready, bring the collection slip and      visit the embassy or consulate during working hours to collect your      passport.

Ten Sheng Miao reminds you that it is best to renew your passport before it expires. If you wait until it has expired, the processing time can be quite long, typically around 30 working days to receive the new passport. However, if your passport is close to expiration or has only a few pages left, you can generally receive the new passport in about 15 working days.

 

Once you receive the new passport, it is important to keep the old passport safe. The existing valid visas, such as UK visas or visas for other countries, in the old passport remain valid and should be used together with the new passport. In the future, when applying for other documents, some may still require the submission of the old passport.

 

Applying for a passport replacement:

 

Ten Sheng Miao reminds you that if you apply for a passport replacement but later find your old passport, the old passport becomes invalid. You need to bring the found old passport to the window of the consular section at the embassy or consulate to have it canceled. However, valid visas from other countries in the old passport should still be used, and the old passport should be kept safe.



The price for both passport replacement and passport renewal is £14, and the processing time is approximately 15-30 working days. The specific processing time may vary depending on the circumstances. The process for applying for a passport replacement is similar, with slightly more documents required:

Ten Sheng Miao suggests arriving around 9:00 am, but it's important to note that many people might already be waiting at that time. The earlier you go, the better, as you need to obtain a queue number and wait in line. The embassy or consulate operates in the morning only, from Monday to Friday, between 9:00 am and 12:00 pm (excluding holidays in the UK and China), and they do not provide services in the afternoon.
